    About Zamar Music

    Zamar Music Inc. is a registered charitable community music hub in Brampton, built over more than a decade on a simple conviction: that music changes lives. Every week, more than 250 families come through our doors, and every month more than 200 seniors join us to sing, play, and connect. We serve children, youth, adults, and seniors through three pillars: The Academy (music education), The Studio (recording and rehearsal), and On Stage (original edutainment productions such as Hymns to Freedom and Roots Rock Reggae, staged at major GTA venues). Our programming is rooted in Black, Afro-Caribbean, South Asian, and Western Classical traditions, reflecting the community we serve.

    This is a pivotal moment for Zamar. We are opening a new 3,000 sq. ft. purpose-built facility at 50 Van Kirk Drive, and we are looking for an operational leader who will not only help us open the space, but manage its operations efficiently from day one — building the systems and operating procedures a growing organization needs, and making sure they are executed consistently.

    The Opportunity

    The Operations & Programs Manager is the operational backbone of Zamar Music. You will run the day-to-day operations of our facility, coordinate and oversee our administrative and teaching staff, manage bookings and facility scheduling, and plan and deliver our events and programs — both at our facility and offsite at the venues where our concerts and productions take place. Above all, you will design the systems and standard operating procedures that let the organization work smoothly and efficiently, and you will own their execution: making sure that what we set out to do actually gets done, on time and to standard. You will not be starting from a blank page: Zamar’s Operations Playbook (v1.0, 2026) documents our core procedures, and you will own it — executing it day to day, keeping it current, and evolving it as we grow.

    This is a hands-on leadership role in a small, mission-driven charity, and the impact of your work will be visible every day: in the child who arrives nervous for a first lesson and walks off a recital stage beaming, in the senior for whom a weekly session is the highlight of the week, in the families who come to rely on Zamar as a place where they belong. The role calls for someone who takes ownership, anticipates what needs doing, and follows through without being asked — not a fixed nine-to-five mindset. Evenings and Saturdays are part of the rhythm of a music organization, and you will work closely with the Executive Director as a trusted partner in the organization’s growth.

    Key Responsibilities

    Operations & Systems

    • Run the day-to-day operations of Zamar: daily priorities, staffing coverage, and the smooth flow of lessons, rehearsals, and programs.
    • Own the Zamar Operations Playbook, and design, document, and implement new systems and procedures that make workflows more efficient across registration, scheduling, payments, communications, facility use, and record-keeping.
    • Ensure execution: train staff on procedures, monitor that they are followed, measure results, and refine systems as the organization grows.
    • Administer and optimize our core platforms, including My Music Staff (student management), Mailchimp, and approved payment platforms; maintain organized electronic records.
    • Prepare documents, reports, and presentation materials for the Executive Director and Board as required.

    Staff Oversight & Scheduling

    • Provide day-to-day oversight and direction to administrative staff and teaching faculty, under the direction of the Executive Director.
    • Build and maintain staff and instructor schedules; manage coverage, substitutions, and task priorities; serve as first point of escalation for operational issues.
    • Support the onboarding and orientation of new staff, instructors, interns, and volunteers; monitor adherence to policies and relay performance feedback to the Executive Director.

    Facility Management & Scheduling

    • Manage daily opening and closing procedures, alarm and visitor access, and reception standards (tidy, safe, stocked).
    • Manage the facility calendar and room-booking system for lessons, rehearsals, recordings, meetings, and rentals, ensuring efficient use of studio and classroom space.
    • Coordinate maintenance, repairs, vendors, and equipment inventory; keep the facility clean, safe, and presentable; follow and enforce safety procedures and support a respectful, inclusive, and hazard-free environment.

    Programs, Events & Bookings

    • Plan and manage recitals, concerts, workshops, community events, and internal and external meetings end-to-end: logistics, vendors, volunteers, refreshments, A/V, run-of-show, and post-event follow-up.
    • Provide offsite operations management for Zamar’s concerts, productions, and community events at external venues across the GTA, including venue and vendor liaison, load-in and load-out, volunteer direction, and run-of-show execution.
    • Manage external bookings and rental inquiries for studio and event spaces, from first contact through confirmation and settlement.
    • Support staff in preparing teaching materials and organizing group programs; gather and relay feedback from instructors, students, and families to inform program refinements.

    Student & Family Services

    • Set the tone for the front-of-house experience: greet everyone who enters, serve as primary point of contact for in-person, phone, and email inquiries, and make sure every family feels welcome and known.
    • Register new students, maintain lesson schedules, track attendance and transitions, and communicate clearly with families about lessons, holidays, and events.

    Finance, Data & Communications

    • Process payments accurately and on time; compile and reconcile transaction summaries for accounting.
    • Keep contact databases current and uphold privacy and data accuracy standards for student, family, donor, and partner information.
    • Design and deploy feedback surveys; summarize insights for internal decisions and grant and funder reporting.
    • Draft monthly newsletter content and social media posts that celebrate students and faculty while maintaining Zamar’s brand voice.

    Required

    • A genuine passion for community impact and for the role music and the arts play in people’s lives — and the drive to see that impact through, not just believe in it.
    • Critical to this role: demonstrated experience creating systems and standard operating procedures for efficient and effective operations. You see inefficiencies and build practical processes that fix them — and you can point to specific systems you have designed and the results they produced. Comfort learning and administering software platforms is essential.
    • Minimum three (3) years of experience in operations, administration, or program coordination, including meaningful experience in the non-profit or charitable sector.
    • Demonstrated experience coordinating or supervising staff, instructors, or volunteers, and building schedules across multiple people and spaces.
    • Proven experience planning and delivering events from concept to completion.
    • Excellent written and verbal communication, sound judgement, and discretion in handling confidential information.
    • Highly dependable and trustworthy, with a track record of ownership and follow-through in a small-team environment.
    • Flexibility to work evenings and Saturdays in alignment with program hours, and to travel within the GTA for occasional offsite events and productions.
    • Ability to provide a satisfactory Police Vulnerable Sector Check, as this role involves working around children and vulnerable persons.

    Assets

    • Background in or passion for music, arts education, or community cultural programming.
    • Familiarity with My Music Staff, Mailchimp, online payment platforms, and Google Workspace or Microsoft 365.
    • Experience contributing to grant or funder reporting.
    • Knowledge of the Brampton and Peel Region community.
    • Valid driver’s licence and access to a vehicle.

    Compensation & Working Conditions

    • Salary of $50,000 per annum, paid bi-weekly, less applicable statutory deductions.

    • 37.5 hours per week. The regular schedule is Tuesday to Friday, 12:30 pm – 8:30 pm, and Saturday, 9:00 am – 5:00 pm: an 8-hour on-site day that includes a 30-minute unpaid lunch break and two paid 15-minute breaks. Shifts may be adjusted around programming, events, and productions with advance notice.
    • Occasional offsite work is required to manage operations at event and production venues across the GTA. Some of these dates may fall outside the regular schedule, in which case the weekly schedule will be adjusted accordingly.
    • Vacation pay and public holidays in accordance with the Ontario Employment Standards Act, 2000.
    • Employment is conditional upon a satisfactory Police Vulnerable Sector Check.
